Receiving Quilts – Checking In and Out

My number one concern is always for the proper care and safety of your quilt when it enters my studio. Each quilt will be checked in personally by me when it arrives, it is given a work order number and a copy of your quilting request form along with any notes or special instruction. I place each quilt in a separate clear plastic bin with a secure cover and placed on a shelf for storage until it goes onto the longarm. My Studio is Smoke Free.

Please note, any quilting estimates given via e-mail or over phone are quotes only and may be subject to change upon actual review of your quilt in person. An agreed upon price will be determined prior to work being done on your quilt.

Local Appointment - Drop Off

If you are in the Londonderry, NH area and prefer a local drop off please feel free to contact me via e-mail or by phone to set up a drop off appointment time. Before your drop off appointment please fill out the Quilt Request Form and please feel free to email me a photo of your quilt top prior to our appointment. This will give us a head start in the design process for your quilt.

At your appointment I will go over my longarming services with you in a complimentary design treatment consultation. We will go over the best design options for your quilt and I will be able to give you a better estimate of the timing of your finished quilt and a more accurate estimate of charges for your quilt and services.


Out of Local Area Customers – Mailing Quilt

If you live within the United States, I am glad to offer my longarming services to you. Many of my customers do not live in or near Londonderry, New Hampshire. That’s ok! I would be glad to give you a complimentary design treatment consultation by e-mail or by phone while I wait for your quilt by mail. I do ask that you please fill out the Quilt Request Form prior to our consultation. You will then receive a summary of your order by email. I will contact you by phone or e-mail within 1-2 business days to discuss services. Please ensure that we have discussed the services to be performed on your quilt prior to mailing out your quilt to me. After our discussion, I will e-mail a more detailed confirmation and summary of the services to be performed for your review. Please print this detailed summary page that you will receive via e-mail and sign the signature line and include this with your quilt when you mail it to me. This simply gives me permission to begin working on your quilt and ensures that we both understand the work that will be performed.

Please feel free to email a photo of your quilt top to me; this will give us a head start in the design process for your quilt.

Packaging and Shipping

A few things to consider when packaging and shipping to me:

  • Any shipping charges to me is your responsibility.
  • Packaging your quilt for safe shipping is very important, I recommend placing your quilt top, backing fabric, binding fabric (if applicable) and a copy of your Signed Quilt Request Form Confirmation E-mail, in a water tight plastic bag to prevent water damage during shipping. Then placing in a sturdy mailing box for shipping to me.
  • I recommend buying added Insurance on your package for added protection.
  • Please do NOT label the outside of the box “Quilt” to deter theft. If it is necessary to mark the contents of package it’s best to write “Blanket”.
  • A Shipping Confirmation (tracking) number is very handy but not required. If you do have a confirmation (tracking) number please email that number to me. That way I am aware your package is on its way to me.

When your quilt top arrives I will contact you via e-mail or phone to confirm my receiving of your quilt top, backing and/or binding fabric and the signed confirmation email. Before starting your quilt I will email you and/or call you to finalize the design treatment. This will give you a better estimate of the timing of your finished quilt and a more accurate estimate of charges for your quilt and services desired.

My turn around time after receiving your quilt is approximately two weeks on free hand edge to edge designs; custom quilts can have an extended time approximately three – five weeks. Additional services such as binding may add a couple extra days. Express services can be applied under special circumstances.

Payment

I accept cash and checks. Please make check payable to: Tracy McKearney

Payment is expected within two weeks of the date your quilt is finished. There is a 10% late fee added after 30 days. Upon receipt of final payment completed quilts are shipped 1-2 days after your final payment is confirmed (check has cleared). There will be a $25.00 fee on all returned checks. I will not release a completed Quilt until payment is made.

*For my local customers I will be glad to make arrangements with you locally for pick-up of your completed quilt. If you prefer; I am able to ship your quilt back to you. Shipping cost is approximately $15-35 per quilt depending on size and includes insurance and a confirmation tracking number. (This will be added on to your final itemized invoice) I ship all my quilts via USPS (United States Postal Service) I ship within the United States only.

*For my out of local area customers, after payment is received, I will then safely package and insure your quilt for its safe trip home to you. Shipping cost is approximately $15-35 per quilt depending on size and includes insurance and a confirmation tracking number. (This will be added on to your final itemized invoice) I ship all my quilts via USPS (United States Postal Service) I ship within the United States only.

Sharing Photos of Your Quilt

I enjoy sharing photos of your beautiful quilt on my Website, Blog, Facebook Page, etc. I do completely understand that sometimes these quilts are to be used as a special gift and you do not want to share until you are able to give it to that special person. Please notify me immediately if this is the case, and/or if you prefer that I do not share your quilt on social media. Thank you for your business!
